USVDA.com — 個人情報保護方針

オプティ株式会社（以下「当社」）は、当社が運営する税務プロジェクト管理サービス 「USVDA.com」（以下「本サービス」）において取り扱う個人情報について、以下のとおり 定めます。
本サービスは、当社の顧客企業およびその関係者に対して招待制で提供する法人向けサービスです。 一般消費者向けの登録受付は行っておらず、当社が招待した方のみが利用できます。

2. 取得する情報Information we collect

2.2 顧客企業からお預かりする業務データ
本サービスでは、税務業務の遂行のために、顧客企業から次のデータをお預かりする場合があります。 これらは当該顧客企業に帰属する情報であり、当社は受託者としてのみ取り扱います。
- 売上データ（取引日・注文番号・配送先の州および郵便番号・金額・通貨・販売チャネル等）
- 税務申告・登録に関する書類、当局とのやり取りの記録
- 案件の進捗、担当者間のやり取り、アップロードされたファイル
売上データには原則として個人を特定する情報（購入者氏名・詳細住所・カード情報等）は不要です。 当社は購入者個人を特定できる情報の提供を求めておらず、送付いただかないようお願いしています。 誤って含まれていた場合は、顧客企業へ通知のうえ削除します。
3. 利用目的Purposes of use
- 本サービスの提供・運営・保守
- 顧客企業から受託した税務業務（自主開示、税登録、税務エンジン導入、還付、助言等）の遂行
- 利用者の本人確認および利用資格の確認
- 案件の進捗・依頼事項の通知（利用者が設定した頻度に従います）
- 不正アクセス・不正利用の検知および防止
- お問い合わせへの対応
- 法令または当局からの要請に基づく対応
当社は、取得した情報を広告配信・行動ターゲティング・第三者への販売に利用しません。
4. 第三者提供Disclosure to third parties
当社は、次の場合を除き、あらかじめ本人の同意を得ることなく個人情報を第三者に提供しません。
- 法令に基づく場合、または税務当局・裁判所等から適法に要請された場合
- 人の生命、身体または財産の保護のために必要で、本人の同意を得ることが困難な場合
- 顧客企業の指示に基づき、当該案件の遂行に必要な範囲で、現地の税務専門家・通関業者等の 提携先へ提供する場合（提携先とは秘密保持契約を締結しています）
5. 業務委託先（サブプロセッサー）Subprocessors
本サービスの提供にあたり、次の事業者を利用しています。いずれも当社が委託先として 監督し、利用目的の範囲を超える取扱いを行わせません。

Render・Resend・Google・Cloudflare の利用に伴い、個人情報が国外へ移転されることがあります。 移転先国の個人情報保護制度に関する情報のご提供をご希望の場合は、上記窓口までご連絡ください。
6. 保管期間Retention
- アカウント情報: 利用終了後1年を経過した時点で削除します。
- 業務データ: 顧客企業との契約に定める期間、定めがない場合は業務終了後7年間保管します。 税務書類の保存義務および当局からの照会に備えるためです。契約終了時に顧客企業からの 書面による指示があれば、法令上の保存義務がある範囲を除き削除します。
- ログ・監査証跡: 取得から2年間。
7. 安全管理措置Security measures
- 通信はすべて TLS で暗号化しています。保存データは提供事業者の管理する暗号化領域に保管されます。
- アクセスは招待された利用者のみに限定し、顧客企業ごと・機能ごとに参照範囲を制御しています。
- ファイルは非公開の保管領域に置き、閲覧権限のある利用者に対してのみ有効期限付きのリンクを発行します。
- ログインおよび重要な操作の履歴を記録し、不正利用の検知に用いています。
- 当社従業者には秘密保持義務を課し、業務上必要な範囲でのみアクセスを許可しています。
8. Cookie 等の利用Cookies
本サービスは、ログイン状態の維持および表示設定の保持のために Cookie を使用します。 広告目的・行動追跡目的の Cookie および第三者による解析ツールは使用していません。 Cookie を無効にした場合、本サービスにログインできません。
9. Google ユーザーデータの取り扱いGoogle user data
利用者が Google アカウントでログインした場合、当社は Google から メールアドレス・氏名・プロフィール画像・アカウント識別子のみを取得します。
- 取得したデータは、本人確認とアカウントの照合の目的にのみ使用します。
- Gmail・ドライブ・カレンダー等の内容にはアクセスしません。
- Google から取得したデータを第三者へ販売・提供することはありません。
- Google API から取得した情報の利用は、 Google API サービスのユーザーデータに関するポリシー （限定的使用の要件を含む）に準拠します。
10. 開示・訂正・削除の請求Your rights
ご本人からの、保有個人データの開示・訂正・追加・削除・利用停止・第三者提供の停止のご請求に 対応します。上記窓口までご連絡ください。ご本人であることを確認のうえ、法令に従い遅滞なく対応します。
顧客企業からお預かりした業務データについては、当該顧客企業を通じてご請求ください。
11. 本方針の変更Changes
法令の改正やサービス内容の変更に伴い、本方針を変更することがあります。重要な変更を行う場合は、 本サービス上での掲示または登録されたメールアドレスへの通知により、事前にお知らせします。

Privacy Policy

OPTI Inc. (“we”, “us”) operates USVDA.com, a tax project management service (the “Service”). This policy explains how we handle personal information in the Service. The Service is a business-to-business, invitation-only service. There is no public sign-up; only people we have invited can use it.
1. Who we are

2. What we collect
About users: email address, name, company, job title, department, telephone number, sign-in timestamps and activity logs. If you sign in with Google, we receive your email address, name and profile picture from Google with your consent.
Client business data: sales records used for tax determination (transaction date, order reference, destination state and postal code, amount, currency, sales channel), filings and correspondence with tax authorities, project progress and uploaded documents. This data belongs to our client companies and we process it solely as a processor on their instructions. We do not request, and ask clients not to send, information identifying individual purchasers.
3. Why we use it
To operate the Service; to perform the tax engagements our clients have retained us for (voluntary disclosure, registration, tax engine implementation, refunds and advisory work); to verify identity and eligibility; to send project notifications at the frequency you choose; to detect and prevent misuse; to respond to enquiries; and to comply with law or requests from tax authorities. We do not use this information for advertising, behavioural targeting, or sale to third parties.
4. Disclosure
We do not disclose personal information to third parties without consent, except where required by law or lawfully requested by a tax authority or court; where necessary to protect life, body or property and consent cannot reasonably be obtained; or where our client instructs us to share it with local tax practitioners or customs agents engaged for their matter (all bound by confidentiality agreements).
5. Subprocessors
Supabase, Inc. (database, file storage, authentication — hosted in Japan, AWS Tokyo); Render Services, Inc. (application hosting — Singapore); Resend, Inc. (notification email — USA); Google LLC (sign-in, only if you choose it — USA); Cloudflare, Inc. (DNS and transport security). Use of these providers may involve transfers of personal information outside Japan. Information about the data-protection regimes of the destination countries is available on request.
6. Retention
Account information: deleted one year after your access ends. Client business data: for the period set out in the client engagement, or seven years after completion where no period is specified, to meet record-keeping obligations and respond to authority enquiries; deleted earlier on the client's written instruction except where retention is required by law. Logs and audit trails: two years.
7. Security
All traffic is encrypted in transit with TLS; stored data resides in our providers' encrypted storage. Access is limited to invited users and scoped per client company and per feature. Files are held in private storage and served only through time-limited links to authorised users. Sign-ins and significant actions are logged. Our personnel are bound by confidentiality obligations and access data only as needed to do their work.
8. Cookies
We use cookies only to keep you signed in and to remember display preferences. We do not use advertising cookies, behavioural tracking, or third-party analytics. The Service cannot be used with cookies disabled.
9. Google user data
If you sign in with Google, we receive only your email address, name, profile picture and account identifier, and use them solely to authenticate you and match your account. We do not access Gmail, Drive, Calendar or any other Google service content, and we do not sell or transfer Google user data to third parties. Our use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
10. Your rights
You may request access to, correction of, addition to, deletion of, or suspension of use or third-party provision of your personal data. Contact us at the address above; we will verify your identity and respond without undue delay as required by law. For client business data, please make the request through the client company concerned.
11. Changes
We may update this policy to reflect changes in law or in the Service. We will give advance notice of material changes by posting in the Service or emailing your registered address.
